Hey, it's Pam
A lot of project managers call us and say, "My team needs writing help." Sounds straightforward, right? This week I'm unpacking why that call almost always leads somewhere deeper.
Speaking of digging deeper: we built PAM, our Professional Authoring Model, to help teams apply readability principles consistently. PAM rewrites your documents according to what the research says about how readers read, and explains why each change works. No prompts. Five simple questions from a drop-down, and you get a redlined document with the reasoning behind every edit. Hit reply if you'd like a demo.

Most organizations never measure their documentation risk |
Organizations invest in equipment calibration, process validation, and employee certifications. They audit their manufacturing lines and test their software. But how many of them have ever measured the risk sitting in their own documentation?
Almost none. And I hear the same opening line all the time: "My team needs writing help." When we dig in, the writers usually aren't the core issue. The whole writing ecosystem is: the templates, the review process, leadership expectations, the absence of shared standards. You can invest in individual coaching, AI to fix grammar, or editing software and still have the same problems a year later if you never identified where the risk actually lives.
We've helped hundreds of companies uncover that risk and save time, money, and resources in the process.
The fix: Before you train, measure. Find out where your documents create confusion, delay approvals, or expose the organization to risk. That baseline changes everything. |

A writing diagnostic that shows you where the risk lives |
When documents create confusion, rework, or delayed approvals, the instinct is usually to send employees to a writing course. Training may help short-term, but it isn't structured to uncover the the source of the problem: unusable templates, inconsistent reviewer feedback, or unclear expectations about what a document is supposed to accomplish.
Our PROS Readability Risk Assessment evaluates real workplace documents, review practices, and team processes. Instead of guessing, organizations get a clear picture of where their communication breaks down and a practical path to stronger performance. The findings help leaders set expectations, improve review quality, and standardize documentation without flattening necessary technical differences. The carton change that buried the benefit |
Each issue we show a real anonymized regulated-industry document alongside our rewrite, so you can see exactly what changed and why. Original
Currently, the cartons for these kits are procured from Company A and are manufactured in China and shipped to us. The new cartons, purchased from a US-based vendor, Company B, based in NY, will allow us to reduce the lead time and help with planning. Additionally, the plastic tray structure and design inside the carton will be changed to paper which will provide environmental and sustainability benefits. Rewrite
The new cartons will reduce lead time and help with planning, because they're being purchased from a US- instead of China-based vendor. In addition, the new cartons are made from paper instead of plastic, which enhances sustainability and reduces environmental impacts.
Why it works
The original gives background the reader probably knows and doesn't need. What does the reader want to know? How the company benefits from buying from a US-based vendor. The most important issues are lead time and planning, and secondarily that the cartons are made from paper. The rewrite leads with the benefit and eliminates unnecessary information. |
